Handling Customer Complaints Professionally

Taking proper actions and records on customer complaints can provide a second chance for a business company to set things right. Most dissatisfied customers tend to spread the word to the others, and then they wouldn’t buy your products. Many of these unsatisfied customers simply don’t complain, instead they will switch brands or suppliers.

On the other hand, customers that do make complaints show that they are still interested to continue using your product, but are just facing some slight problems with it. These customers, if treated well, will spread the good word and continue their purchases.

Complaints can make a company grow. It is all part of a business. We can always learn more about our own performance level and service quality from customer complaints, and they can definitely help us improve our operations for the future. Treating these customers right can also increase their brand loyalty to your products and this ensures a continuous flow of business between you and them.

Handling a customer complaint in a professional manner is very crucial. When you first receive a customer’s complaint, listen to it and absorb it. Identify and take note of the problems while the customer is speaking and try not to interrupt. Understand the situation and show some concern towards the customer.

Use general questions when asking the customer while showing that you understand of what happened. Show some empathy when you find that the complaint is reasonable and apologize to the customer whether you were responsible for it or not because you are representing your company. Most important of all, do not blame someone else for the problem.

Always make sure that you can provide a fair solution to the customer and your company. Ask for the customer’s agreement to it and make sure you do as promised. Be courteous and calm while speaking to the customer even if the customer is acting impolitely. Your attitude towards your customers is important. Lastly, don’t ever lie to your customers. They will just go away when they find something is not right.
